How to use this HVAC invoice generator

  2. Write the job description. Be specific — "diagnosed and replaced run capacitor on Carrier 24ACC636A003" beats "HVAC repair."
  3. Add line items. Mark each as Parts or Labor. List each part separately with part numbers when available.

What every HVAC invoice should include

A good HVAC invoice protects you from disputes and gets you paid faster. Every invoice should have:

  • Business info with license number. Most states require contractor licenses on invoices.
  • Service address separate from billing address. Critical for property managers and warranty questions.
  • Sequential invoice number. INV-2026-0001 format. Required for clean tax filing.
  • Specific job description. Equipment make/model/serial, what you diagnosed, what you replaced. Defends against scope arguments.
  • Itemized parts with part numbers. Run capacitor 45/5 MFD 440V — not "capacitor." Builds trust and survives warranty claims.
  • Labor broken out. Hours × rate, or flat rate, listed separately from parts. Some states tax labor differently.
  • Sales tax with the rate shown. Texas, Florida, and others tax HVAC repair labor; California taxes parts only on most service. Know your state.
  • Payment terms. "Due on receipt," Net 15, Net 30. State your late fee.

Invoice the same day, not at midnight

HVAC invoice FAQ

Do I have to charge sales tax on HVAC repair?

Depends on your state. Texas taxes both parts and labor for HVAC repair to existing systems. California taxes parts but generally not labor on repair work. Florida taxes most repair labor. Check your state's department of revenue — the rules change by service type (new installation vs. repair vs. maintenance contract).

Should HVAC invoices show the manufacturer warranty?

Yes, in the notes. "Carrier compressor: 10-year parts warranty per manufacturer registration. Labor warranty: 1 year from this invoice date." It protects both sides if anything fails.

What invoice number format should I use?

Sequential is the only requirement. INV-2026-0001, INV-2026-0002, etc. is common. Don't reset numbers between years if you can avoid it; auditors prefer one continuous sequence.

Can a customer dispute an HVAC invoice?

They can try. Your defense is itemization, photos, and the original diagnostic. Detailed descriptions of what you tested and replaced — plus the equipment serial number — protect you in chargebacks and small claims.
